I’m Not Opening a Laptop in the Van
It usually starts with a simple thought
You’re between jobs, sat in the van, checking what’s next.
You know the information is in your system somewhere. Customer notes, last job details, maybe what was quoted.
And then it hits you.
“I’ll check it later. I’m not opening a laptop in the van.”
Fair enough.
Because no one’s realistically balancing a laptop on their steering wheel trying to scroll through a CRM. It’s awkward, slow, and a bit of a faff. So you move on, rely on memory, or deal with it later.
That’s usually where things start to slip.
You don’t work at a desk
Trades businesses don’t run from desks.
They run from vans, driveways, scaffolding, and quick gaps between jobs. Your “admin time” isn’t an hour in an office. It’s a few minutes here and there, grabbing what you need and getting on with the job.
But most systems don’t reflect that.
They assume you’ll sit down properly, log in on a laptop, and work through things step by step. Calm, organised, uninterrupted.
That’s just not how your day works.
This is where it gets frustrating
You try using the system on your phone.
It loads slowly. You tap through a few screens. You’re not quite sure where things are. It works, technically, but it feels clunky and a bit too much effort for what should be a quick check.
So what happens?
You stop using it properly.
You rely on memory.
You message someone.
You tell yourself you’ll check it later.
And now your system isn’t helping. It’s just sitting there in the background.
If it’s not quick, it won’t get used
This is the reality.
If it takes too long, you won’t open it.
If it’s confusing, you won’t trust it.
If it needs a laptop, you’ll leave it.
Not because you don’t care, but because you’re busy.
Anything that slows you down, even slightly, gets pushed down the list. That’s how systems that should be useful end up being ignored.
Why tablets make the difference
This is where a lot of businesses get it wrong.
They think “mobile-friendly” means squeezing everything onto a phone. But that’s not always the best answer.
A tablet sits right in the middle.
Big enough to actually see what you’re doing.
Small enough to grab quickly between jobs.
Simple to use without setting anything up.
You can pull up job details properly, check history without squinting, and update things without feeling like it’s a chore.
It just fits better.
The real test is on-site
A system might look great on a desktop.
But that’s not where you use it.
The real test is when you’re out on a job. Can you open it quickly? Can you find what you need in seconds? Can you update it without it slowing you down?
If not, it’s not quite right yet.
Because your business doesn’t run from an office. It runs on-site, in real time, with no spare time to waste.
If it doesn’t work on-site, it doesn’t work
You don’t need more features.
You need something that fits into your day. Something that works on a phone or, even better, a tablet. Something that feels easy to use, not something you avoid until you get home.
Your system should support you while you’re working, not wait for you at the end of the day.
If your current setup feels like something you’ll “sort later,” that’s usually the sign.

Sometimes it’s not about adding more.
It’s just about making it usable.
